About the role

At Actevate, we believe great leadership runs on great support. We're looking for an exceptional Personal Assistant who thrives on organisation, problem-solving and being the trusted right hand to our director and executive team.

What you will do

  • Managing the Director's diary, calendar and appointments
  • Coordinating meetings, including scheduling, confirmations and follow-up actions
  • Handling incoming calls, emails and correspondence on behalf of the Director
  • Maintaining accurate records, documents and filing systems
  • Preparing reports, presentations and meeting materials as required
  • Assisting with general office administration and operational support
  • Coordinating travel arrangements and itineraries when required
  • Attending meetings with the Director to take notes, prepare agendas and assist with follow-up actions
  • Representing the Director professionally in communications with clients and stakeholders
  • Assisting with special projects, events and business initiatives as required
  • What we are looking for

  • Bring previous experience in an administrative, reception, PA, EA or office support role
  • Have exceptional organisational and time management skills
  • Bring excellent written and verbal communication skills
  • Are confident with stakeholder engagement and relationship-building
  • Are proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams), with Canva a bonus
  • Have strong phone skills across calls, messages and emails
  • Can work autonomously and take ownership of your responsibilities
  • Are professional, adaptable and highly reliable

    About the role

    In this role, you'll partner directly with leaders across the business to define what great looks like, find people who can deliver it, and guide them into roles where they'll thrive long-term.

    But this role goes beyond filling vacancies, rather you will be the custodian of Actevates culture helping to shape it, embed it, celebrate it, and share it with the world. As Actevates social ambassador, you'll give our brand a human voice, connect us with the wider industry, and make sure the outside world sees what makes this place genuinely special.

    What you will do

    Hiring & Talent Delivery

    • Lead end-to-end recruitment across your portfolio — from intake briefing through to offer and onboarding.
    • Partner with hiring managers to define role requirements, build strong candidate profiles, and set realistic timelines.
    • Source proactively using referrals, direct outreach, internal talent pipelines, and external channels.
    • Screen, interview, and assess candidates using fair, consistent, and genuinely inclusive practices.
    • Advise and guide managers through the process so they make confident, well-informed hiring decisions.

    Building Culture from the Inside Out

    • Champion Actevates values and culture in everything you do — from how candidates are treated to how onboarding feels.
    • Lead internal initiatives that strengthen employee engagement, connection, and belonging.
    • Continuously monitor employee engagement surveys and translate insights into meaningful action.
    • Partner with leaders to identify culture risks early and build environments where people genuinely want to stay.
    • Design and drive initiatives in the employee wellbeing space that reflect Actevates mission.
    • Support early tenure check-ins (3–6 months) through data, feedback, and collaboration with managers to embed new starters strongly.

    Social Ambassador & Employer Brand

    • Serve as Actevates external face in the talent market — at events, on social media, and across professional networks.
    • Work with the marketing team to bring Actevates employer brand to life through compelling, authentic storytelling.
    • Identify and apply for industry and professional body awards that showcase Actevates people, culture, and impact.
    • Build Actevatespresence as a recognised employer of choice and best-in-industry provider.
    • Represent Actevate at industry events, career expos, and professional communities to attract top talent.
    • Ensure every candidate interaction reflects our values — candidates should leave every conversation impressed, regardless of outcome.

    Retention & Workforce Sustainability

    • Partner with managers to understand retention challenges, capability gaps, and turnover trends.
    • Ensure roles are clearly defined and honestly represented — including demands, expectations, career pathways, and conditions.
    • Support internal mobility by identifying and championing suitable internal candidates.
    • Use retention and attrition data to identify patterns and inform better role design.
    • Flag retention risks during intake discussions (salary misalignment, workload, scope, or expectation gaps).
    • Contribute workforce planning insight to reduce reliance on reactive hiring.
    • Work with leaders to refine hiring strategies that drive longer-term engagement and reduce regretted attrition.

    What we are looking for

    • Solid in-house recruitment experience with a genuine passion for people and culture.
    • Confidence working with stakeholders at all levels — and the credibility to influence them.
    • The ability to juggle multiple priorities without losing focus or care.
    • A natural storyteller who can bring a brand to life across social and professional channels.
    • Comfort using data to inform decisions, not just report on them.
    • Strong interviewing, assessment, and judgement skills.
    • An authentic commitment to inclusive, candidate-centred recruitment.
